Position: Project Finance Manager
Salary: $60,000
Application Deadline: May 22, 2023
Start Date: June 12, 2023 (Flexible)
Term: Full time, permanent, remote

Job Description:

Attila Glatz Concert Productions, a 30-year old established concert producer and promoter with a fully remote office structure, is seeking a detail-oriented, experienced financial professional to join its finance department to manage the financial efficiency of the organization's concerts. This role will communicate and collaborate with upper management to help control spending, and spearhead budgeting, reporting, and financial evaluation.

This position is about much more than just numbers—if you’re looking for a straightforward bookkeeping job, this is not a position for you. Our chosen candidate will be an idea-driven strategist, equally happy inputting data into QuickBooks with precision and speed as contributing ideas to upper management on areas to maximize revenue and minimize expenses. You will be someone excited by data. As the record-keeper of our concert ticket counts, and the person inputting and coding all performance-related expenses day-to-day, you will have real-time insight into which performances might need an extra allocation of marketing dollars, and which performances might need their budgets to be rethought if artistic fees are unexpectedly higher, etc. You will be a critical thinker who thrives equally in details and big-picture thinking.

Our chosen candidate will be personable, fast, and self-starting, with impeccable attention to detail. We require a minimum of three years of experience in finance, and a degree or diploma in business, finance, accounting, or commensurate experience working in this capacity.

Reporting to the Vice President, Marketing and Project Development, and working closely with our Director of Accounting and Director of Operations, the Project Finance Manager will perform the following duties, in addition to others as required:

General:

  • Create and enforce policies and procedures relating to financial reporting and review, evaluate and make improvements to existing procedures

  • Provide leadership for strategic business development by providing effective financial analysis of past performances

  • Maintain an accurate and complete trail of supporting documentation for all activities

  • Provide general counsel, advice, and guidance on financial matters as required

  • Maintain a high level of confidentiality in all interactions

  • Provide administrative support to coworkers and management as needed

Bookkeeping:

  • Perform basic bookkeeping functions and data entry using QuickBooks. Develop and maintain QuickBooks to optimize workflow

  • Assist with accounts payable. Approve invoices (ensuring accuracy), code, submit invoices for processing to Director of Accounting, and file all paperwork, maintaining meticulous digital records of all invoices

  • Ensure proper general ledger codes are used and documentation is coded properly

  • Prepare credit card reconciliation for Director of Accounting by providing back-up

invoices; record all credit card charges in QuickBooks

  • Assist with payments to artists and artist taxation processes

  • Maintain W-9 forms and supply information during taxation to Director of Accounting

Reporting:

  • Record daily ticket sales reports for all performances into our database and resolve any apparent reporting errors with the venue box office contacts (note: no prior experience required)

  • Conduct monthly financial reporting: collect and report on data from a YTD perspective and by performance

  • Produce P&L statements; prepare reports that outline income, expenses, and earnings based on past, present, and future performances

  • Finalize income and expenses after performances in collaboration with concert hall contacts, and assemble all needed back-up materials for performance settlements

Analysis:

  • Analyze and interpret financial and accounting information in order to appraise profitability, performance against budget, and other matters bearing on the fiscal soundness and operating effectiveness of all performances

  • Monitor ticket sale patterns when carrying out ticket reporting duties, and discuss any anomalies with upper management

  • Evaluate current business strategies, determining the financial viability of initiatives in all departments

Budgeting:

  • Monitor performance resources

  • Assist in preparing the project budgets for all prospective performances, working in

collaboration with other team members to adjust and optimize

  • Enter and update budgets for all performances into QuickBooks

  • Assess existing budgets, control expenses, and communicate with upper

management to stay abreast of spending, budgeting, reports, and evaluation

  • Analyze variable costs, make recommendations for savings, and make budget

    adjustments as appropriate

Communications:

  • Act as primary contact with vendors, external collaborators and internal staff for all financial queries (billing, etc.)

  • Respond to internal and external questions and concerns in a clear and timely manner

Requirements:

  • Degree or diploma in business, finance, accounting, or a related field, or commensurate experience working in this capacity

  • Minimum of three years of experience in finance

  • Complete mastery of QuickBooks, able to demonstrate speed and accuracy during

    an interview

  • Intermediate technical skills in MS Excel, and able to learn new software quickly

  • Current knowledge of financial best practices, accounting systems, budgets, and

    internal controls

  • Sound analytical thinking, planning, prioritization, and execution skills

  • Ability to absorb new ideas and concepts quickly and ensure they are clearly

    communicated

  • Strong writing, editing, and proofreading skills, and meticulous with numbers

  • Strong business acumen

  • Genuine interest in playing a critical role in the decision-making of the organization

by analyzing and presenting data to upper management

  • Demonstrated time management skills, particularly in remote office work

    environments

  • Ability to work individually as well as part of a team

  • Must ensure security, integrity and confidentiality of all company data. Must
